At 4:47 p.m. on a Tuesday in March 2024, an email landed in my inbox with the subject line: 'Line 2 down until further notice.' That sentence set off a chain of phone calls, a $900 price gap, and a procurement lesson I still use whenever a quote looks too good.
My title is office administrator at a food processing plant with roughly 200 people. I buy everything that keeps the building running: motors, bearings, filters, safety gear, conveyor parts—about $780,000 a year across maybe 20 vendors. Since then, I ask for two things before I issue a purchase order for a critical part: a confirmed delivery date, and a promise to send the correct technical documentation. If a vendor can't provide those, I keep looking.
I'm not a motor expert, so I don't choose motors based on internet theory. What I know is purchasing: exact part number, verified stock, delivery in writing. In that order. The extra $900 felt irresponsible on Tuesday evening. By Wednesday afternoon, it felt like the cheapest part of the repair.
What if I had chosen the cheaper quote? Maybe nothing would have gone wrong. But 'maybe' was exactly the risk I couldn't take while the line was down.
